Images and Filming

CBA staff and volunteers want to be able to celebrate the achievements of children and adults at risk who take part in their work. Photography and film are invaluable ways to promote activities and to share ideas.

Safeguards must be put in place to ensure that informed consent is obtained and that images are not used where consent has not been sought or in ways which could be abusive.

Below you will find guidance and the necessary permission forms to ensure you are taking and using images/video safely and in accordance with our Digital Safeguarding Policy.

The consent form must be completed at the time a child joins a YAC club and at the annual renewal.

In addition to the above, when organising each session parents/carers should be given the opportunity to revoke consent before the event. The easiest way to do this is during the booking process.


If you would like to film or take pictures during a CBA activity you must:

  • Explain to those attending the activity how the film/images will be used, giving real, practical examples where possible.
  • Explain why you are doing it and the potential risks.
  • Seek consent from the child, as well as the parent/carer at the time (as well as already having secured consent before the event as noted above).
  • Get consent BEFORE you have filmed/taken pictures.
  • If images are used publicly only use the first names of those in the film/picture.

Other things to consider:

  • Only use images of children in suitable dress to reduce the risk of inappropriate use.
  • If a professional photographer is attending your sessions, make sure your expectations of them are clear.
  • Give them a copy of the Safeguarding Code of Behaviour and make sure they know if any of the children are not to be photographed.
  • Do not allow photographers to be alone with children.
  • Find out how the photographer will store and use the photographs and let your membersโ€™ parents/carers know.
  • Do not arrange for any photography sessions with a child outside of your sessions.
  • Store photographs securely, in the same way that you store membersโ€™ personal details. See Record Keeping.
  • If you have any concerns about how photographs are being taken, stored or used at your club, please report them to the Designated Safeguarding Lead at YAC HQ.

Online Sessions

Lots of YAC activity now takes place online and it is important that we maintain children’s safety online during these activities.
